POSITION TITLE: Front Desk Volunteer

DIVISION: Facilities

POSITION TYPE: Volunteer In-Person

LOCATION:YWCA MacNab Street Location or YWCA Putman Location

HOURS OF WORK: 1-6 hours /week; 1-2 shifts/month.  Mornings and evenings, flexible schedule

 

OBJECTIVE:The Front Desk Volunteer provides assistance to the Front Desk team.   They will welcome clients, volunteers, staff and community members at the MacNab and Putman YWCA facilities.  They will act as a representative of the YWCA Hamilton and follow the guidelines set by the YWCA Hamilton.

 

REPORTS TO: Guest Services Manager

 

QUALIFICATIONS:

  • Organized, punctual, empathetic, reliable, nonjudgmental, and able to listen/follow instructions
  • Excellent time management skills
  • Must have a Standard First Aid/CPR certificate
  • Able to work with a variety of people; willing to take initiative; effectively multi-task and remain on task within a fast-paced environment
  • Basic numeracy, literacy, measurement skills is an asset
  • Provide recent Criminal Record and Judicial Matters Check (CRJMC) within six (6) months at your own cost
  • Good interpersonal skills
  • Supports YWCA Hamilton mission, vision and values
  • Works from a feminist, anti-oppressive/anti-racist perspective
  • Willing to accept supervision and take direction
  • Respectful of confidentiality and privacy
  • Reliable, mature, non-judgmental, kind, caring and able to listen
  • Time commitment as agreed upon

 

KEY RESPONSIBILITIES:

  • Greet and welcome YWCA Hamilton visitors, service recipients, volunteers, and staff in a courteous and professional manner as they approach the front desk
  • Answer questions about the organization and provide callers with social and recreational resources and other information using proper telephone etiquette
  • Perform various administrative duties such as filing, faxing, scanning, photocopying, managing incoming and outgoing mails
  • Perform a wide range of support requiring duties such as booking and scheduling rooms for meetings, and manage keys for user groups
  • Ensure the safety of self and others; Report any hazards, serious concerns, or issues to the Guest Services Manager
  • Assist Facilities team with other tasks as they arise such as moving packages, refilling disinfectant spray bottles and etc
  • Maintain tidiness and organization in the reception area
  • Adhere to all policies as outlined in the YWCA Volunteer Training
  • Perform other duties as assigned

 

NECESSARY TRAINING / COMPETENCIES REQUIRED:

  • YWCA General Volunteer Training
  • Position Specific Orientation
  • Physically capable of lifting heavy objects / boxes up to 20 pounds. Ability to push, pull, stand, kneel, bend, stoop, reach, climb and carry on a frequent basis.

 

OTHER REQUIREMENTS:

  • Minimum Age: 18 years old
